A Few Minutes of Work, Saved Me an Entire Day
A Really Boring Task:
A recent project I was wrapping up required both of screen-video walkthrough and written SOPs for each section of the delivery.
Making the videos was straightforward: navigate to the relevant section, think it through for a few seconds, press record.
Writing the SOPs?
A tedious piece of work that was going to take no less than entire day - if I remained completely focused.
Where Something is Repetitive, Automate:
So, I slowed down a little, and took 45min to plan & build an automation sequence that does all of the work.
I used Make.com for the workflow integration.
The Sequence:
> Record the Looms as usual,
> Feed them into the automation,
> Let AI handle the transcription and formatting into proper SOP docs.

Time Calc:
Traditional approach: A full day at minimum of (dreary) work drafting out written documentation.
Automated approach
> 45 minutes to build the workflow (one-off),
> 60 minutes of processing time (hands-off, I went to gym),
> then about 90sec per document for quality checks.
Post the one-off system build, total active time invested: a few minutes to do QC checks -- versus a full day.
Why Was this Automation so effective:
The screen-videos already contain all the information needed for SOPs.
Everything is explained step-by-step on camera.
The automation converts that spoken explanation into structured written format.
The AI handles:
> Transcribing the audio accurately,
> Formatting into clear step-by-step instructions,
> Organising sections logically,
> Creating consistent document structure.
I handled:
> A quick quality check to ensure accuracy and clarity.
The principle:
This is a perfect automation candidate.
It combines:
> high volume (multiple SOPs needed),
> clear structure (video to document conversion),
> repetitive format (all SOPs follow similar patterns).
My Investment:
Essentially a one-off system build.
Any future work will just need some tweaks to refit for specific purpose (eg AI prompt adjust).
Long reach:
Like all process-automation, this isn't just about saving time on one project.
Once you have this in place, every future project requiring both video and written documentation is sorted.
The same pattern will work to great effect for at least:
> Training materials
> Client / Staff onboarding
> Internal processes
> Product tutorials
Quality Management:
Of course, the quality check per document is crucial.
AI transcription and formatting is excellent, particularly on a task like this, but human review ensures the final output meets your standards and catches any context the automation might have missed.
